Most calls are a parent who cannot find the form, does not know what they owe, needs to report an absence, or wants the link to another system. Put those four on the first screen, for each child, and the call stops being the path of least resistance.
Today’s list: letters still unread, forms still open, a trip that needs a yes, a slot not booked, a balance, and an absence report. When nothing is due, say so. Parents keep opening a screen that tells them they are finished.
Add tiles for the other products the school runs, with the real web and store links. “It’s on the other app” is only useful if the other app is one tap away.
Replies, absence reports and payment questions need an owner and a status. Otherwise the call comes back because nobody answered the message. A thread can be assigned, turned into a task, or escalated. Parents message the office, not a named teacher’s private inbox.
Calls about a distressed child, a collection change the school has not approved, or a safeguarding concern still belong to people. The software should make those easy to route. It should not pretend they are a form.
