Reporting an absence without the morning phone queue

Updated 24 September 2026.

Ask which child, the first day they are off, whether it is the morning or the whole day, and a short reason. That should arrive in the office queue with someone’s name on it. The register still lives in the MIS. This is only how the school hears.

Keep the form short

On a school morning, four fields are enough: the child, the date, the session, and why. Anything else can wait until the office actually needs it. If they have two children, it should be obvious which one the form is about.

Give it an owner

A shared inbox is fine until the two people who read it are both out. The report needs a status and a person who will deal with it. Staff notes stay on the office side. The parent sees that you have it.

The register is still the MIS

Pupil Gate does not write attendance back. Once the report is in the queue, someone in the office marks the register where you already mark it.

Checklist

  • Child, first day, session and reason
  • Arrives in the office queue with an owner
  • Goes to the office, rather than a teacher’s own inbox
  • Staff notes kept off the parent’s screen
  • Register marked in the MIS by the office

Common questions

Does the parent mark the register?+

They tell the school. Staff mark attendance in the MIS you already use.

Can a restricted contact report an absence?+

Only when the school has allowed that adult to use the product for that child. If they are blocked from letters, they are blocked from this as well.

More on this: Office inbox, Calls the office still gets, Parent app. The full list is on the guides page.

Give parents one place to look.

Open the demo as a parent, then as the office, and see the same letter from both ends. It is a fictional trust with the real product behind it.
