Who is responsible

Schools using Pupil Gate are the data controllers for pupil, adult and communication data in their tenancy. We act as a processor on their instructions under the data processing terms.

We are the controller for marketing-site visitors, enquiry forms, billing contacts and security reports.

What schools process through the product

• Pupil names, year and class, enrolment status
• Adult names, contacts, relationships and parental responsibility
• Information-class grants, restrictions and evidence metadata
• Letters, inbox items, form answers, office threads and change requests
• Audit events of administrative actions

The product is not a safeguarding case system. Halt notes are staff-only. Do not put special-category detail into free-text fields unless your school has a lawful basis and a recorded decision. See the acceptable use policy.
