Leave those families on the same audience and print the letter from that send. A side list in Word will drift. If the wording or the permissions change after you have packed it, the pack should be flagged so you are not handing out yesterday’s version at the gate.
The usual mess is two versions. The email says Thursday and the pile on the office desk still says Wednesday. If the pack comes from the send, that gap goes away. A blocked adult should not be in the pile either.
Plenty of families have no smartphone and do have email, or they will use a computer at the library. The same product works in a browser. Paper is for the households who cannot take a digital copy. It is a lot of work if you print for everyone who has not installed the app yet.
Start with the families who will use the app, and print for the rest from the first week. An invite link should only turn into an account after the parent has signed in. A mail scanner opening the message should not do it for them.
Print from the first send. If you wait, the families without email are out of the new process on day one.
